The Import Agenda feature uses AI to extract session data automatically from documents:

Upload a run-of-show PDF or Excel spreadsheet
The system extracts titles, times, speakers, and room information
Review the preview and confirm
All sessions are created in seconds

Supported File Formats

PDF: Run-of-show, agendas, schedules
Excel: .xlsx or .xls spreadsheets
Word: .doc, .docx
PowerPoint: .ppt, .pptx (run-of-show decks)
Apple iWork: Keynote, Numbers, Pages
OpenDocument: .odt, .ods, .odp
Other: RTF, WordPerfect

Note: Formats other than PDF and Excel use LibreOffice conversion. This is installed in all IteraOS environments.

Step 1: Prepare Your File

Ensure your document contains:

Session titles (e.g., "Opening Keynote", "Panel Discussion")
Times (e.g., "9:00–10:00" or separate columns)
Speaker names (optional)
Room/location (optional)

Step 2: Start the Import

Open your event
Go to the Schedule & Agenda tab
Click Import from PDF / Excel
Select your file (drag-and-drop or click to browse)

Step 3: Review Preview

The system shows extracted items in a table:

Title: Session name
Time: Start–End time
Speaker: Speaker name (if found)
Duplicates: Items already in your event

Step 4: Handle Duplicates

Skip duplicates (recommended): Ignore items already in your event
Update existing: Overwrite old data with new speaker/room info

Step 5: Confirm and Import

Select the Target Schedule Date
Choose your duplicate handling
Click Import Agenda
All items are created instantly

Improve Extraction Accuracy

Use clear formatting: Clean tables import better than loose text
Include dates: Always show which date each session belongs to
Use standard times: "09:00–10:00" works better than "9 AM - 10 AM"
Review the preview: Always check before confirming
Test with a copy: Create a test event first if you're new to import

Limitations

Files larger than 50 MB cannot be imported
Very noisy or low-quality scans may have errors (always review!)
Times should be in HH:MM format (24-hour preferred)
Dates should be YYYY-MM-DD or clearly identifiable
